RULES & GUIDELINES
Phase Con has established the following rules to ensure the safety of everyone involved. “Vendor” refers to any individual selling artwork or merchandise at Phase Con, as well as their assistants and helpers. Phase Con and Phase Connect by extension reserve the right to remove any vendor or artist at anytime.
LEGAL REQUIREMENTS
1. Vendor Eligibility - Per seller’s permit requirements for the California State Board of Equalization, Vendors registering for Phase Con must be at least eighteen (18) years of age at the time of the event. No exceptions will be made.
2. Seller’s Permits - Vendors are required to have a valid and current California State seller’s permit that covers the date of the event (“Seller’s Permit”). You will be required to provide your Seller’s Permit for our verification prior to selling merchandise, commissions, and/or other services at Phase Con. It is the responsibility of each Vendor to obtain a Seller’s Permit.
3. Seller’s Permits may be obtained from the California Department of Tax and Fee Administration. Click “Register for a Permit” to get started. The Event Name is: Phase Con and the Organizer/Promoter of the event is: Phase Connect. Please use the Hyatt Regency San Francisco Airport address for the location of the event.
4. Phase Con requires that attendees, staff, volunteers, and Vendors observe and adhere to all state and federal law; including those for raffles and prizes.
PHASE CON MERCHANDISING REQUIREMENTS
1. Vendors and artists are required to have at least 70% of their merchandise to be of IPs of Phase Connect. This requirement is true for both amount of merchandise being sold at Phase Con as well as physical display of merchandise at your booths/tables.
2. Vendors and artists who are planning to sell merchandise of IPs that do not belong to Phase Connect are required to present written approval(s) from corresponding IP holder(s) granting explicit permission to sell merchandise related to their IP at Phase Con. These merchandise and IPs must be related to VTubers, unless otherwise granted by Phase Con.
3. Please refrain from selling any merchandise or artwork that presents full nudity and genitals. No H content is allowed.
4. Phase Con does not permit the sale and display of AI-generated art and artwork derived in whole or in part from AI technology. Vendors and Artists found selling AI generated artwork will be asked to leave.
5. Food or beverages are not permitted to be sold without explicit permission from Phase Con.
6. Weaponry and potentially dangerous items are not allowed to be sold at Phase Con. These include firearms (including real and replica), and drugs/paraphernalia.
ARTIST & VENDOR PROFESSIONAL BEHAVIOUR
1. All Vendors and their assistants maintain a reasonable level of professionalism while doing business at Phase Con and are expected to follow the general code of conduct required of all Phase Con Attendees.
2. All table displays should be considerate of their neighbors. Loud music or overly obstructive displays are not permitted.
4. Only properly-badged Vendors will be permitted access to the vendor areas for setup and tear-down outside of regular business hours.
PHASE CON ARTIST & VENDOR TABLE GUIDELINES
1. Phase Con reserves the right to refuse service to anyone including Vendors, staff, and attendees.
2. Livestreaming by Artists and Vendors in Vendor’s Hall is not permitted. Vendors and Artists should be aware that there is a distinct possibility that some of our VTuber Guests and attendees might livestream their experiences at the convention.
3. Phase Con will make sure all official Phase Con Guests as well as third party robots/attendees that are roaming while livestreaming will be visibly marked as currently being live and are required to respect Vendors’ and Artists’ wishes.
4. Phase Con will provide clear signage to Vendors that indicate they do not wish to be livestreamed and you are free to display that at your table or booth. We will also have prominent signage all throughout the con asking attendees and Guests alike to be mindful of people that do not want to be part of someone’s content and to respect others’ privacy and ask for permission. The Vendor team will be available if there are any issues and we will remove people who keep streaming Vendors against their wishes.
5. Despite these efforts Vendors shall be aware that they might appear in the background of livestreams or b-roll footage, which is part of the Phase Con’s Convention Code of Conduct.
6. Reselling and sharing tables is not allowed.
7. Obtrusive or distracting displays are not allowed, at the discretion of Phase Con. Annoyances may include excessive/flashing lights or loud music/sound from laptop speakers or other display/audio devices.
8. Vendor spaces can become crowded. Phase Con requests Vendors help to keep the event safe and all aisles clear.
9. Vendors must be at tables when selling merchandise or working on commissions. Sitting in the aisles between table rows is not permitted.
10. Merchandise and displays may not extend past the front edge of Vendor space and must not present trip or snag hazards.
11. Use provided waste receptacles for any garbage. Report any spills or similar issues to the Phase Con staff as soon as possible. Vendors may be responsible for additional cleaning costs for any large stains on the carpet at/near their tables after the event.
12. Vendors who do not show up at the designated time for setup will forfeit their table and booth. Please contact us in advance should you anticipate any difficulty in setting up your table/booth.
